This checklist is written for the person who has to agree a cleaning scope, check that it was done, and keep a record of it: a facility manager, an operations lead, or a general contractor’s site manager before handover. Use it as a starting point for your own site document. Print it, strike out what does not apply, and add the rules your facility already has.
How to use it
- Scope first. Go through the zones below with the cleaning contractor and mark each item as in scope, out of scope or needs facility approval. That marked-up list is the scope of work.
- Access second. Fill in the access section with your own rules: badging, escorts, hours, open-tile limits, areas off limits.
- Inspect on each visit. The contractor’s site supervisor walks the completed areas against the list; your contact spot-checks.
- Record exceptions. Anything found rather than cleaned (standing water, damaged tiles, debris under the floor, a blocked grille) goes in the exceptions box with a photo.
- Sign off. Both sides initial the visit record. Keep it with the facility’s maintenance records.
Zone checklist
| Zone | Items to clean or inspect | Watch for |
|---|---|---|
| Entry, airlock and staging | Floors, mats, door hardware, glazing, cart staging area | Outside grit tracked in on wheels; worn mats |
| White space: floor | Solid panels, perforated and grated tiles, ramps, edge trim | Dust at tile perforations; scuffs from carts; loose or rocking panels |
| White space: equipment exteriors | Cabinet doors and tops, PDU and RPP exteriors, containment panels and doors | Fingerprints and dust lines on tops; dust on containment door seals |
| White space: overhead | Cable tray and ladder rack exteriors, busway housings, cabinet tops | Dust build-up that will fall during the next cable pull |
| Plenum (if in scope) | Slab, pedestal bases, stringers, outside of containment, underside of lifted panels | Construction fines, dropped hardware, moisture, damaged containment |
| Grey space | Electrical and mechanical room floors, ledges, equipment exteriors, door hardware | Dust on top of switchgear and unit housings; debris behind units |
| Cooling unit fronts | Filter frames and grilles (exterior only), unit housings | Lint and dust on intake faces |
| Walls, doors and glazing | Walls to reachable height, doors, kick plates, vision panels | Marks at cart height; dust on ledges and sills |
| Support corridors and docks | Floors by material (sealed concrete, epoxy, vinyl), loading dock apron | Grit at thresholds; product residue on coated floors |
Surfaces and materials
Note the floor and surface types in each zone, because the method follows the material:
- Raised floor panels: high-pressure laminate, vinyl, or conductive or dissipative tile. Dry first; controlled moisture only where the finish allows it.
- Perforated and grated tiles: vacuumed, never wiped with anything that can leave residue in the perforations.
- Coated and sealed floors: low-moisture methods that do not lift or haze the coating.
- Dissipative flooring: only products the flooring manufacturer lists as compatible.
- Equipment exteriors: low-lint cloths, no sprays near intakes, no moisture near terminations.
Access and approvals
| Item | Your rule |
|---|---|

Using the checklist with a contractor
If you are putting a scope out to a contractor, the marked-up zone table is the clearest brief you can give them. For a recurring plan, see data center maintenance cleaning: the frequency per zone is set from this list. For a new build, the same zones apply at each phase of post-construction cleaning. The floor and plenum rows are covered in detail under raised floor cleaning and subfloor plenum cleaning.
